Job Brief

We’re looking for Operations Specialist to join our team. The Operations Specialist will be responsible for a variety of tasks including providing support to our operations team, developing and implementing operational processes, and assisting with special projects as needed. If you are a highly organized individual with a strong attention to detail, then this is the position for you!

Operations Specialist Duties

-Ensure that accounts are paid in full, and notify the clients or superiors when accounts are past due
-Create and manage invoices and credit memos
-Oversee accounting functions, including sales, general accounting, accounts payable, and accounts receivable
-Review financial records for accuracy and review billing invoices, purchase orders, and inventory reports, and monitor the accounts payable and accounts receivable functions
-Coordinate with departmental staff to coordinate activities
-Coordinate with outside vendors
-Act as liaison between customers and various departments
-Maintain customer and vendor relations

Operations Specialist Responsibilities

-Support business strategy by providing operational support using a variety of specialized skills including, but not limited to, management, marketing, finance, information technology, human resources, sales, and customer service
-Create project spreadsheets, presentations, and reports using Excel and PowerPoint
-Manage all activities associated with implementing and executing projects
-Track inventory, shipping, and invoicing
-Coordinate internal and external activities such as vendor/customer interactions
-Utilize project management software to create Gantt charts, project schedules, and schedules
-Utilize job costing software to track and report costs to upper management
-Maintain personnel records and timesheets
-Process payroll and timesheets

Requirment And Skills

-2+ years experience in operations of large-scale (100+)-volume retail environment, including customer service, receiving, inventory, stocking, purchasing, and distribution
-Experience with vendor relationships, vendor setup and maintenance
-Ability to resolve problems and implement solutions
