A personal assistant or executive assistant provides support for an individual, typically someone who works in a managerial or executive position.

A personal assistant provides a wide range of tasks, including: meeting scheduling; travel arrangements; business correspondence; and scheduling personal appointments.

Executive assistants often support top management, including high-level executives, board of directors, and C-suite executives.

Executive assistants must be skilled at planning and organizing, be knowledgeable about company practices and procedures, and have an expert understanding of the executive’s schedule.

Job Brief:

We're looking for a personal executive assistant to work with us closely on a variety of tasks. This person must be highly organized, detail-oriented, and able to multitask effectively. The ideal candidate will also have excellent written and verbal communication skills.

Personal Executive Assistant Duties:

  • Maintain effective working relationships with all company managers
  • Assist with association planning and events
  • Act as primary liaison to government, the business community, and other groups
  • Maintain complete and accurate records of all company management activities
  • Establish and maintain communication/coordination procedures with other departments
  • Provide administrative and clerical support to company managers and staff

Personal Executive Assistant Responsibilities:

  • Assist the General Manager/Owner with business development, business operations, consulting, speaking engagements, and other projects as needed
  • Manage the General Manager’s schedule, including travel, appointments, and other tasks
  • Handle communications, including email, phone, and texts
  • Handle travel arrangements, including reservations, airfare, and ground transportation
  • Handle reservations and scheduling for meetings and events
  • Set up and maintain all financial and business records, including accounts receivable, accounts payable, employee benefit records, and payroll
  • Prepare personal expenses for reimbursement by the General Manager(Owner)
  • Establish and maintain relationships with consultants, vendors, and partners
  • Other duties as assigned
