We’re looking for a Senior Executive Assistant to support our team in a fast-paced environment. The ideal candidate will have experience handling a variety of administrative tasks and be able to work independently with little supervision.

Senior Executive Assistant Duties:

  • Establish relationships with existing and prospective clients
  • Maintain and track extensive calendars, schedules, and meeting notes
  • Prepare correspondence, notes, reports, and presentations for management
  • Conduct administrative duties for the CEO
  • Support the CEO and management team by handling all administrative and operational activities
  • Provide assistance to the CEO in all phases of project development
  • Perform other duties as assigned

Senior Executive Assistant Responsibilities:

  • Serve as a first-line manager, supervisor, and leader for a team of executive assistants
  • Manage scheduling, staffing, budgeting, and project progress, while ensuring deadlines are met
  • Assist with recruiting, interviewing, hiring, and onboarding executive assistants
  • Coach, train, and evaluate team members, as well as evaluate their performance and provide feedback
  • Create and maintain project tracking documentation, often using software, including tracking documents, correspondence, reports, meeting minutes, and meeting agendas
  • Oversee the coordination of travel and expense reports, including sourcing, processing, submitting, and tracking
  • Prepare communications, including memos, reports, presentations, memos, and memos
  • Keep abreast of industry issues, trends, and information
