A senior executive assistant is a senior-level administrative professional who provides administrative and managerial support to an executive, C-suite level manager, or the board committee of a board of directors.

Senior executive assistants typically perform duties such as handling confidential communications, scheduling meetings, creating and maintaining meeting documentation, managing employee information, and assisting with the coordination of travel arrangements.

They may also assist in the creation of company policies, procedures, and guidelines.

Job Brief:

We're looking for a Senior Executive Assistant to support our team in a fast-paced environment. The ideal candidate will have experience handling a variety of administrative tasks and be able to work independently with little supervision.

Senior Executive Assistant Duties:

  • Establish relationships with existing and prospective clients
  • Maintain and track extensive calendars, schedules, and meeting notes
  • Prepare correspondence, notes, reports, and presentations for management
  • Conduct administrative duties for the CEO
  • Support the CEO and management team by handling all administrative and operational activities
  • Provide assistance to the CEO in all phases of project development
  • Perform other duties as assigned

Senior Executive Assistant Responsibilities:

  • Serve as a first-line manager, supervisor, and leader for a team of executive assistants
  • Manage scheduling, staffing, budgeting, and project progress, while ensuring deadlines are met
  • Assist with recruiting, interviewing, hiring, and onboarding executive assistants
  • Coach, train, and evaluate team members, as well as evaluate their performance and provide feedback
  • Create and maintain project tracking documentation, often using software, including tracking documents, correspondence, reports, meeting minutes, and meeting agendas
  • Oversee the coordination of travel and expense reports, including sourcing, processing, submitting, and tracking
  • Prepare communications, including memos, reports, presentations, memos, and memos
  • Keep abreast of industry issues, trends, and information
  • Perform other duties as required or assigned
