Job Brief:

We’re looking for a Practice Administrator to join our team. The Practice Administrator will be responsible for the overall administration of the medical practice. This includes supervising office staff, handling finances, and overseeing the day-to-day operations of the practice. The Practice Administrator will also be responsible for ensuring that the medical practice is in compliance with all state and federal regulations.

Practice Administrator Duties:

  • Manage all the administrative, accounting, and marketing components of the practice, including scheduling appointments, answering patients’ questions, scheduling office visits, and billing patients
  • Maintain day-to-day operations of the office by overseeing staff members
  • Maintain an accurate and up-to-date patient database
  • Develop and implement business plans and strategies
  • Work closely with management, staff, and vendors
  • Oversee office activities such as inventory, insurance, and purchasing
  • Ensure the practice’s policies and procedures are followed by staff and adhered to by patients

Practice Administrator Responsibilities:

  • Manage facility operations, including HR, payroll, billing, client relations, accounts payable, and 1099 preparation
  • Maintain all employee records, including day-to-day tracking of work hours, absences and vacation, and payroll
  • Assist in recruiting, interviewing, hiring, and on-boarding new employees
  • Develop and direct orientation and training programs and documents
  • Maintain all client records, including correspondence, billing, invoices, and payments
  • Manage client accounts, including billing and collections
  • Track inventory and ordering for office equipment and consumables
  • Develop and maintain internal processes, and set standards for reporting, budgeting, and internal processes
  • Other duties as assigned

Requirements And Skills:

  • Bachelor’s degree in Business Administration, Finance, Accounting or Healthcare Administration
  • 3+ years of supervisory experience
  • Excellent communication and interpersonal skills
  • Strong verbal, written, and organizational skills and proficiency in Microsoft Office (Word, Excel, Outlook)
